- Name the service and the specific action involved.
- Include its order, trade or transaction reference, if one exists.
- Write the timestamp and time zone, rather than only saying “today.”
- State the status or error exactly as shown.
- Attach relevant screenshots after removing unrelated personal information.

Separate observations from expectations
Start with what you expected, then what actually happened. For example: “The item is visible in Steam, but the website shows no eligible items.” This is more actionable than “Your site stole my inventory.”
Explain any checks you already tried and their results. If you are uncertain about the cause, say so. Ask for the next step or for clarification of the displayed status, rather than assuming a particular fix.
